Outlook 97 Configuration

NOTE: Outlook 97 is an older e-mail program that is no longer supported by Microsoft or CalWeb Internet Services. You are highly recommended to upgrade to a later version of Outlook or Outlook Express for your e-mail needs.
First Time Configuration
1.The first time you run Outlook 97, you will be presented with a "Welcome to Microsoft Outlook!" screen. Click on OK.
2. Click on Tools and select Services.
3. You should have the Services tab selected. Click on Add.
4. Select Internet E-mail and click OK.

Note: There are two different versions of the Mail Properties Screens. If you see two tabs labeled "General" and "Connection", continue on with step 5. If you see four tabs labeled "General", "Servers", "Connection", and "Advanced", go to step 9.

5. Click on the General tab, and enter the following:
  • Full Name: The name that you would like displayed when you send out e-mail (i.e. Joe User)
  • E-Mail Address: Enter your CalWeb e-mail address (i.e. joeuser@calweb.com)
  • Internet Mail Server: pop.calweb.com
  • Account Name: Your CalWeb login name (no .ppp or @calweb.com)
  • Password: Your CalWeb password.

6. Click on the Advanced Options button. Enter smtp.calweb.com as the mail server, then click OK.
7. Click on the Connection Tab, and select "Connect Using A Modem." Select CalWeb as the modem connection.
8. Click OK. You will get a message saying that the service has been added. Click OK. Continue to step 13.

If you have four tabs, follow these instructions:

9. Click on the General tab and enter the following:
  • Under the Mail Account, enter CalWeb (this is just a friendly name)
  • Name: The name that you would like displayed when you send out e-mail (i.e. Joe User)
  • Organization: This can be left blank or you can put in your company name.
  • E-mail address: Enter your CalWeb e-mail address (i.e. joeuser@calweb.com)
  • Reply Address: Leave blank.
10. Click on the Servers and enter the following:
  • Outgoing Mail (SMTP): smtp.calweb.com
  • Incoming Mail (POP3): pop.calweb.com
  • Make sure that under Logon Using is selected.
  • Account name: Your CalWeb login name (i.e. joeuser, no .ppp or @calweb.com)
  • Password: Your CalWeb password
11. Click on the Connection tab.
  • Select "I connect manually" if you wish to dial in manually.
  • Select "I use a modem to access my e-mail" and select CalWeb if you want Outlook to dial in and retrieve your mail.
12. Click OK. You will get a message saying that the service has been added. Click OK.
13. You will return to the services menu. A selection with "Internet E-mail - CalWeb" has been added. Click OK.
14. Click on File and select Exit and Log Off.
15. Restart Outlook 97.

Verifying E-mail Account
1. Click on Tools and select Services.
2. You should have the Services tab selected. Select Internet E-mail and click Properties.

Multiple E-mail Accounts
Outlook 97 can only handle one POP e-mail account.TOP
Spam Filtering
CalWeb employs a Spam filtering system called Spam Assassin which marks suspected Spam messages with the word *****SPAM***** in the subject line. However, this is no way to send all marked Spam messages to the Deleted Items folder.TOP
File Attachments
To send a file attachment
Click on the file attachment iron (it looks like a paperclip) or click on Insert and select File. You can then select the file to attach to the mail message by double-clicking on the item or by selecting the item and clicking OK.

NOTE: Consider the end user. Large attachments take a long time to both upload and download. Attachments larger than 3MB may be rejected by the mail server.

To open a file attachment
From the message list screen: Click on File, then Save Attachments, then the file name. A dialogue box comes up prompting you for the location to save the file attachment. Select the location, then click Save.

From the actual message. The message attachment is shown as a icon at the end of the message. By double-clicking on that attachment, a box comes up asking if you want to open or save the attachment. Alternatively, you can click on File and select Save Attachments. A dialogue box comes up asking where you would like to save the attachments. Select the location, then click Save.

WARNING! Many computer viruses can be transmitted through file attachments. Before opening a file attachment, be sure you know who is sending you the attachment and if you were expecting the attachment. It is recommended that you have a virus-scanning program installed and the latest anti-virus definitions installed. CalWeb is not responsible for any damage to your computer if you open an virus-infected file.TOP

Common Issues
Message Checking Interval
Click on Tools, and select Options. Click on the Internet E-mail tab. At the bottom of the screen, make sure that "Check for new messages every" is checked and enter a time interval in minutes. Click OK.

Prompt For Password
By default, Outlook saves your CalWeb e-mail password. If you are being prompted for your password for several times and feel that you have entered the password correctly, please contact CalWeb technical support, as there is a problem with your mailbox on CalWeb.

Mail Left On Server
Click on Tools, then Services. Click on Internet E-mail, then select Properties. If you only see two tabs named "General" and "Connection", then Outlook 97 cannot leave mail on server. Click Cancel all the way out. Otherwise, follow these instructions:

If you are leaving messages on the server: Click on the Advanced tab. Uncheck "Leave a copy of messages on server". Click OK all the way out. Then, click on File, and select Exit and Log Off. Then, restart Outlook 97.

To leave a copy of the message on the server: (not recommended) Click on the Advanced tab. Check off "Leave a copy of messages on server". We highly recommend that you also select "Remove from server after [blank] days" is also checked to avoid possible excessive disk usage charges and setting a reasonable number of days (5-15 should be sufficient). Click OK all the way out. Then, click on File and select Exit and Log Off. Then, restart Outlook 97.

IMPORTANT! If you elect to leave mail on the server, we highly recommend that you periodically check your e-mail box using the CalWeb web mail interface to delete messages that are no longer needed, otherwise excessive disk usage charges will occur. (Note: Be sure to hit the Empty Trash button before logging out of the web mail interface to remove the deleted messages from the Trash folder.)

Hang Up After Downloading
Click on Tools, then Services. Click on Internet E-mail, then select Properties. If you only see two tabs named "General" and "Connection", then Outlook 97 cannot automatically disconnect after downloading mail. Click Cancel all the way out. Otherwise, click on the Connection tab and uncheck "Disconnect when finished sending and receiving". Click OK all the way out. Then, click on File and select Exit and Log Off. Then, restart Outlook 97.

Large Message
The option to skip messages larger than a certain size is not supported by Outlook 97.

Message Splitting
Outlook 97 does not support the option of splitting a large message into multiple parts.

Send Messages Immediately
Outlook 97 automatically sends messages immediately.

Folders List
To view a message folder list, click on View and select Folder List. You can also click on the Mail bar on the left side of the screen to display a list of mail folders as icons.

Message Preview
Outlook 97 uses a preview mode which displays the first few lines of a message. To turn on and off this mode, click on View and select AutoPreview.

Outside Access to CalWeb's Mail Server
If you are connecting from outside of CalWeb's network in order to access your e-mail, you will need to use your provider's outgoing mail server. Outlook 97 does not support outgoing mail authentication (also known as SMTP Authentication).

Message Headers
Occasionally, it may be necessary for you to send us the complete message headers. These headers contain the complete path that the message took through the Internet rather than just the From, To, Subject, and Date that you see as part of the message. To send us the complete message headers of the selected message, click on File and select Properties. Click on the Internet tab. Right click on the highlighted text and select Copy to copy the headers to the clipboard. Click OK to close the properties window. Click on the Forward button, or click on Compose and select Forward. Right click in the message body and select Paste to paste the headers in. Then, send the message.TOP
