Eudora 5 Configuration

NOTE: These instructions were written using Eudora in the Pro mode with advertising. Some of the functions may not be available when Eudora is in Light mode. You can change the mode by clicking on Help and selecting Payment & Registration.
First Time Configuration
The first time you run Eudora, you will be given an introduction. Click OK to start up the New Account Wizard. You will see a Introduction screen. Click Next, then go to step 3 in Adding A New E-Mail account to set up the e-mail account.TOP
Adding A New E-Mail Account
To add a new mailbox, follow these instructions:

1. Click on Tools and select Personalities to bring up the personalities screen.
2. Right click in the Persona box and select New.
3. You will be given a account settings screen. Make sure that Create a brand new email account is dotted and click Next. (Note: If you want to manually set up the account, then put a dot by Skip directly to advanced account setup and click Finish. Then, go to the section Advanced Account Setup.)
4. If prompted, enter a Friendly Name for the personality. (i.e. Joe's Mail). Click Next.
5. You will be prompted for your name. Enter your name as your would like it to appear when you send out e-mail (i.e.
Joe User) and click Next.
6. You will be prompted for your e-mail address. Enter your CalWeb e-mail address (i.e.
joeuser@calweb.com) and click Next.
7. You will be prompted for your CalWeb login name. In most cases, it is the same as the first part of your CalWeb address and should already be entered. Click Next.
8. You will be prompted for the incoming mail server. Enter
pop.calweb.com and make sure that POP is dotted. Click Next.
9. If you are prompted for the outgoing server, replace the
pop.calweb.com with smtp.calweb.com. Leave "Allow Authentication" checked and click Next.
10. The account creation process is complete. Click Finish.

Advanced Account Setup
1. You will see a Create New Account Screen. Select the Generic Properties tab and enter the following:

  • Personality Name: A friendly name to refer to this account.
  • Real Name: The name which you want to appear when you send out e-mail (i.e. Joe User)
  • Return Address: Your CalWeb e-mail address (i.e. joeuser@calweb.com)
  • Login Name: Your CalWeb login name for this account (i.e. joeuser, no @calweb.com or .ppp)
  • SMTP Server (Outgoing): smtp.calweb.com
  • Allow Authentication should be checked

4. Click on the Incoming Mail tab and enter the following:

  • Server: pop.calweb.com
  • Configuration: POP should be dotted
  • Authentication style: Passwords should be dotted.

5. Click OK.TOP

Verifying E-mail Account
From the options screen
1. Click on Tools and select Options.
2. Click on the Getting Started icon and check the following:
  • Real Name: The name which you want to appear when you send out e-mail (i.e. Joe User)
  • Return Address: Your CalWeb e-mail address (i.e. joeuser@calweb.com)
  • Mail Server (Incoming): pop.calweb.com
  • Login Name: Your CalWeb login name for this account (i.e. joeuser, no @calweb.com or .ppp)
  • SMTP Server (Outgoing): smtp.calweb.com
  • Allow Authentication should be checked

3. Click on the Incoming Mail icon. Under Authentication Style, make sure that Passwords is dotted.
4. Click OK.

From the personalities screen
1. Click on Tools and select Personalities to bring up the personalities screen.
2. Right click on the Persona that you want to check and select Properties.
3. Click on the Generic Properties tab and check the following:

  • Real Name: The name which you want to appear when you send out e-mail (i.e. Joe User)
  • Return Address: Your CalWeb e-mail address (i.e. joeuser@calweb.com)
  • Login Name: Your CalWeb login name for this account (i.e. joeuser, no @calweb.com or .ppp)
  • SMTP Server (Outgoing): smtp.calweb.com
  • Allow Authentication should be checked

4. Click on the Incoming Mail tab and check the following:

  • Server: pop.calweb.com
  • Configuration: POP should be dotted
  • Authentication style: Passwords should be dotted.

5. Click OK.TOP

Multiple E-mail Accounts
To filter messages based upon the e-mail address, follow these instructions:

1. Click on Tools and select Filters.
2. Click on New to create a new filter.
3. Under the "Match" section, set the following:

  • Make sure that "Incoming" is checked.
  • On the top "Header:" box, click on the down arrow and select «Any Recipient».
  • On the next line, leave the selection box box set as contains. In the white box, enter the CalWeb e-mail address (i.e. joeuser@calweb.com)
  • Leave everything else alone.

4. Under the "Action" section, click on the down arrow on the first drop down box and select Transfer To. A gray bar marked In will appear.
5. Click on the gray bar and select New. You will be prompted for a name of the new mailbox. Enter the new mailbox name (i.e.
Joe's Mail) and click OK. Your screen should look like the following:

6. Click on the X in the upper right hand corner of the screen to close the filters screen.
7. You will be asked to confirm the changes. Click Yes.TOP

Spam Filtering
CalWeb employs a Spam filtering system called Spam Assassin which marks suspected Spam messages with the word *****SPAM***** in the subject line. To transfer the messages to the Trash folder, follow these instructions:

1. Click on Tools and select Filters.
2. Click on New to create a new filter.
3. Under the "Match" section, set the following:

  • Make sure that "Incoming" is checked.
  • On the top "Header:" box, click on the down arrow and select Subject: .
  • On the next line, click on the down arrow and select starts with. In the white box, enter *****SPAM*****
  • Leave everything else alone.

4. Under the "Action" section, set the following:

  • On the first drop down box, click on the down arrow and select Transfer To. A gray bar marked In will appear. Click on the gray bar, then select -> Trash.
  • On the second drop down box, click on the down arrow and select Skip Rest.

5. If necessary, click and hold on the "Subject: *****SPAM*****" and drag it to the top of the list. Your filter screen should look like the following:

6. Click on the X in the upper right corner of the screen to close the Filters screen.
7. When you are prompted to save the changes, click Yes.

Once this filter is set up, any messages marked as SPAM will be transferred to the Trash folder.TOP

File Attachments
To send a file attachment
To attach a file to a e-mail message, click on the Attach File icon, or click on Message and select Attach File. A dialogue box will come up allowing you to select the files to attach to the e-mail message.

NOTE: Consider the end user. Large attachments take a long time to both upload and download. Attachments larger than 3MB may be rejected by the mail server.

To open a file attachment
The attachment will appear at the end of the message. By double-clicking on the icon, you will open the message. Alternatively, by right-clicking on the attachment icon, you will presented with a menu giving you a variety of options, including opening and saving the attachment.

WARNING! Many computer viruses can be transmitted through file attachments. Before opening a file attachment, be sure you know who is sending you the attachment and if you were expecting the attachment. It is recommended that you have a virus-scanning program installed and the latest anti-virus definitions installed. CalWeb is not responsible for any damage to your computer if you open an virus-infected file.TOP

Common Issues
Message Checking Interval
Click on Tools, then Options. Select the Checking Mail icon. Near the top, enter a value in minutes in the "Check for mail every [blank] minutes". (Note: Entering
0 disables the automatic mail checking function). Click OK.

Prompt For Password
Click on Tools, then Options. Select the Checking Mail icon. Make sure that Save password is checked. Click OK.

Mail Left On Server
If you are leaving messages on the server...
From the options screen: Click on Tools, then Options. Select the Incoming Mail icon. Make sure that Leave mail on server is not checked. Click OK.

From the personalities screen: Click on Tools and select Personalities. Right click on the Persona that you want to check and select Properties. Click on the Incoming Mail tab. Make sure that Leave mail on server is not checked. Click OK.

To leave a copy of the message on the server... (not recommended)
From the options screen: Click on Tools, then Options. Select the Incoming Mail icon. Check off Leave mail on server. We highly recommend that you also select "Delete from server after [blank] days" is also checked to avoid possible excessive disk usage charges and setting a reasonable number of days (5-15 should be sufficient). Click OK.

From the personalities screen: Click on Tools and select Personalities. Right click on the Persona that you want to check and select Properties. Click on the Incoming Mail tab. Check off Leave mail on server. We highly recommend that you also select "Delete from server after [blank] days" is also checked to avoid possible excessive disk usage charges and setting a reasonable number of days (5-15 should be sufficient). Click OK.

IMPORTANT! If you elect to leave mail on the server, we highly recommend that you periodically check your e-mail box using the CalWeb web mail interface to delete messages that are no longer needed, otherwise excessive disk usage charges will occur. (Note: Be sure to hit the Empty Trash button before logging out of the web mail interface to remove the deleted messages from the Trash folder.)

Hang Up After Downloading
Click on Tools and select Options. Click on the Internet Dialup icon. Uncheck Hang-up after receiving and sending. Click OK.

Large Message
When this feature is activated, messages over a certain size will only have the first few lines downloaded. Bring up the entire message, then click on the button with the arrow pointed down, then recheck the mail. The entire message will then be downloaded.

From the options screen: Click on Tools and select Options. Select the Incoming Mail icon. Check off "Skip messages over [blank] K in size" and enter a size in KB. Click OK.

From the personalities screen: Click on Tools and select Personalities. Right click on the Persona that you want to check and select Properties. Click on the Incoming Mail tab. Check off "Skip messages over [blank] K in size" and enter a size in KB. Click OK.

IMPORTANT! This will leave the large messages on our mail server. You should periodically check your mailbox using the CalWeb web mail interface to check and delete the large messages, otherwise excessive disk usage charges will occur. (Note: Be sure to hit the Empty Trash button before logging out of the web mail interface to remove the deleted messages from the Trash folder.)

Message Splitting
This option is not supported in Eudora.

Send Messages Immediately
Click on Tools and select Options. Click on the Sending Mail icon. Make sure that Immediate send and Send on check are both checked. Click OK.

Outside Access to CalWeb's Mail Server
If you are connecting from outside of CalWeb's network in order to access your e-mail, it is recommended that you use your provider's outgoing mail server. Alternatively, you can try and do the following to send e-mail through CalWeb's server:

From the options screen: Click on Tools and select Options. Click on the Sending Mail icon. Make sure that Allow Authentication is checked. Click OK.

From the personalities screen: Click on Tools and select Personalities. Right click on the Persona that you want to check and select Properties. Click on the Generic Properties tab and make sure that Authentication Allowed is checked. Click OK.TOP

Message Headers
Occasionally, it may be necessary for you to send us the complete message headers. These headers contain the complete path that the message took through the Internet rather than just the From, To, Subject, and Date that you see as part of the message. To send us the complete message headers, bring up the message and click on the BLAHBLAHBLAH button. Then, forward the message.TOP
